How it was delivered

Starting point

The workshop in Viveiro needed to explain its services, receive online enquiries and plan jobs with different durations, staff requirements and work bays. Glass replacement, a car wash and a mobile service call each need a different schedule.

Intervention

I redesigned the website and connected its forms to a private application. I built the scheduler, enquiry and user management, availability rules and a flow that prepares appointment details from voice or text notes.

Responsible for website design and development, the internal application, scheduling rules, integrations and production deployment.

Decisions and scope

From enquiry to scheduled work

The website explains the services and requests information relevant to each job. Appointment requests and enquiries reach the workshop's application. The manager reviews each request and schedules it using the existing details, without entering them again in a separate application. Submitting a form does not confirm an appointment: the workshop agrees the date and time with the customer.

Availability that reflects the actual work

Scheduling accounts for work time, waiting time, buffers, bays, staff capabilities and blocks. Glass replacement may require two people; a mobile job reserves the vehicle and travel time. Car washes have a specific rule: one technician can handle two overlapping jobs when each car has its own bay. Capacity is checked again when an appointment is saved.

Capture a voice note, then review it

Staff can type or record a note inside the scheduler. The system transcribes it and prepares the job details for review. The manager fills in anything missing and decides when to turn it into an appointment. Voice makes information easier to capture; confirmation stays with the workshop.

Built for the front desk and mobile use

The application separates manager and operator permissions, supports working hours and external shifts, and provides Excel exports and printing by date range. The interface adapts to mobile screens for checking and organising work around the workshop. Screenshots come from an isolated demo; real customer schedules and audio remain private.

What I learned
The trade shapes the schedule: a car may occupy a bay after the technician becomes available, and two washes may overlap without allowing the same overlap for other services.
